Administrative Assistant / Front Desk

Summary:

This position provides administrative support as necessary to all departments, as well as assists those who walk-in, call, or email the company.

Responsibilities:

  • Represent the organization by welcoming visitors, answering email inquiries, and responding independently to incoming calls while screening other calls as needed.
  • Sort and distribute incoming mail, coordinate outgoing client and internal packages.
  • Maintain and update company data in Salesforce to prepare accurate and consistent records, reports, and analyses.
  • Obtain sales leads and qualified leads from Marketo, send corresponding sales emails or campaign emails through Constant Contact.
  • Prepare surveys and analyze results as needed.
  • Maintain internal company Excel spreadsheets, PowerPoint presentations, Word documents, Visio graphs, and Survey Gizmo surveys.
  • Manage company meeting resources (rooms and conference lines), schedule and attend organization-related meetings to assist with setup, minutes, and follow-up.
  • Maintain and update the town hall presentation; coordinate with all employees who are required to provide updates.
  • Any other ad hoc reporting, administrative, or office management task as directed.

Education/Experience:

  • Associate's degree or higher
  • Minimum 1-3 years of office administration experience
  • Must be skilled at a minimum of an Intermediate level in the use of Microsoft Excel
  • Must be skilled at a minimum of an Intermediate level in the use of Microsoft Word
  • Must be skilled at a minimum of an Intermediate level in use of MS Office Product Suite
  • Preferred software experience:
    • Salesforce
